After an exhaustive search looking for the best CRM for my own business, I decided to share what I found with you. Note, these are the best real estate CRM’s for an agent who is working solo or a small team. There are more powerful real estate CRM’s for real estate teams and brokerages.

Here are my top picks for the best real estate agent CRM and what makes them so good.

1. IxactContact

  • 6 month FREE Trial for Rookie Agents is unheard of for a CRM.
  • Concierge Set Up that does all the initial work for you.
  •  Smartphone sync means that if anyone in your database calls you, their name shows up in caller ID.
  • IxactContact App allows you to use the CRM on the road.
  • The ability to combine both Email and Snail mail campaigns equally well.

Dislikes:

  • Text marketing has been put on hold while they deal with some compliance issues. They expect to have it back up again once they sort through the regulatory red tape.

Final Thoughts 

IxactContact is the best overall Real Estate CRM for 97% of the agents out there. It’s quick and easy to get up and running. Easy to learn, has great customer support, and with the website included is the very best value. It even has enough features to work with a small team.

If you’re a rookie agent, who received their license in the past 12 months then the 6 months free trail is an absolute no brainer.

The only people that IxactContact is not good for are large teams and top producers who need a more powerful robust CRM that integrates with hundreds of lead sources and does everything including taking the dog out for a walk but the people at IxactContact are so nice (Canadians) that if you ask real nice, they might even stop by and do that too.

Rookie agents just sign up for the standard free trial then send in their license showing they have been an agent for 12 months or less and the free trial is extended to 6 full months!

  • Great for Solo Agents but 5 Team members allowed for each account
  • Works well for transaction coordination.
  • Wide choice of integration partners, 84 at last count.
  • Excellent Customer Support – Ridiculously good.
  • Artificial Intelligence AI Bot engages and nurtures your leads.
  • Mobile App
  • SMS Texting is included.

Dislikes:

  • No website included or available as an option.
  • Better choices out there for large teams and brokerages
  • Campaign builder has a bit of a learning curve.
  • Somewhat dated design and interface.
Final Thoughts

Very good CRM with some features that are best in class. 

If you’re a small team and don’t need the full functionality of Top Producer or Follow Up Boss then this is the right CRM for you.

3. Top Producer

Best for as the name implies…Top Producers and teams or a solo agent who wants a CRM that will allow them to become a top agent or grow a large team over time.

  • Smart Targeting – Uses predictive analytics to predict who is likely to list. Has an instant home valuation landing page. Integrates with online advertising with Google, Facebook and Instagram and can send out Just Listed and Just Sold postcards

Dislikes:

  • Learning curve is a bit higher than some other CRM’s.
  • No website included in base plans.

Final Thoughts: 
Top Producer allows you to pick and choose which services you need to be successful. 

The monthly price can run anywhere from just $60.00 a month for the basic CRM to $180.00 a month if you want the Market Snapshot, Five Street Lead Management and a Website. 

The price for the Professional Plus Plan with the Smart Targeting is unknown at the time of publication but I’ll update it as soon as I get a number.

Personally, I think the Market Snapshot is the killer app especially for past client follow up. The number one thing your clients want to know is what their house is worth in today’s market. The Market Snapshot answers that burning question in real time and over time keeping you Top of Mind and more likely to get their business.

If you’re an agent who has or wants to grow a large team over time then Top Producer is a great pick.

4. LionDesk

Great if you run Facebook Ads. Best for agents looking for an inexpensive solution to get started with room to scale your marketing as you go along. The single line power dialer package at $99.00 a month is a game changer for phone prospectors.

  • Low Price for Starter Plan.
  • Customizable CRM dashboard
  • Text-2-Sell Campaign
  • Power Dialer – Single Line Power Dialer is great, not the 3 line one.
  • Gabby – The AI autoresponder that pretends to be your assistant and talks to leads. LOL.

Dislikes:

  • Customer Support is OK but if you need handholding go with WiseAgent or IxactContact.
  • Transaction Management is limited at best.
  • No website.
  • Confusing packages and pricing.
  • Starter Plan has limited texts and emails which are paid A la Carte after the limit.
  • 3 Line Power Dialer – When a telemarketer calls, have you noticed a pause and then you hear a click? That’s a multi line power dialer dropping two other calls ringing and connecting you to an agent. It’s the kiss of death for phone prospecting and I don’t like it. I stick to Single Line Power Dialers. They’re slower (and cheaper) but you don’t sound like a telemarketer before you even connect.

Final Thoughts: 

The starter plan has a low initial price but their A la Carte pricing model means that you pay for additional texts, emails. The 2 higher plans have some additional features, but mostly you’re just prepaying for those texts and emails. 

The low initial price looks good but if you are on a budget and need a website too, you’re probably better off with IxactContact. 

The free trial, unlike others, is very limited and is just to see if you like the platform. 

If you run a lot of Facebook ads this is the CRM for you. If you’re a phone prospector, the power dialers with the Bundle Packages makes this the CRM for you.

If real estate is just a side hustle and you just need a basic CRM and your marketing is limited then the Starter Plan is the way to go. If you need a website too, then check out IxactContact.

  • Their philosophy – Follow Up Boss acts as the hub for your business. As your business changes you change the 3rd party vendors but keep the same CRM.
  • Phone Dialer is really a full business phone system that can replace VOIP phone systems like RingCentral.
  • Integrations – Best in Class – Follow Up Boss integrates and plays well with over 200 lead sources, websites, calendars and most other 3rd party applications.
  • Team Leaderboard – Great for fostering friendly competition to increase performance.
  • No contracts– Month to month unlike Top Producer
  • Simple pricing – unlike LionDesk.

Dislikes:

  • No website included.
  • Email templates are limited

Final Thoughts: 

Follow Up Boss is the first real alternative to Top Producer for large teams. They’ve been in business for 10 years now and have grown into a more mature and stable company that’s been constantly improving year after year. One big difference between the two is that Top Producer requires a yearly contract while Follow Up Boss is month to month so you aren’t locked in if you decide you don’t like it. C’mon Top Producer, I’m afraid of commitment…

Follow Up Boss is the one platform that can be used by a single agent and can easily be adapted as that one agent grows even if you become a full brokerage. Their philosophy is that they are the hub that connects all your lead sources, websites and other platforms. This allows you to change your business model by changing your lead sources as the market changes. It also means that to unlock the full potential of Follow Up Boss, you’re going to need other vendors.

If you’re thinking about either Follow Up Boss or Top Producer, because Follow Up Boss is month to month and Top Producer is a one year commitment, I would sign up for the Follow Up Boss 14 day free trial and then even use it for a few months it and then check out Top Producer if you’re not happy.
